ProSpeak Solutions (“ProSpeak,” “we,” “us” or “our”) provides corporate presentation-skills training. We are based in Mill Creek, Washington, USA. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. It applies to prospeaksolutions.com (the “Site”), to our emails and calls, and to the information we handle when we arrange and deliver workshops.
If you have any questions, contact us at info@prospeaksolutions.com.
1. Information we collect
Information you give us
- Contact and inquiry forms: your first and last name, email address, company name, phone number (optional), the service you are interested in, and anything you write in your message.
- Newsletter sign-up: your email address.
- Emails, calls and meetings: what you tell us when you correspond or speak with us.
- Workshop arrangements: when your organization books training, we may receive participants’ names, job titles, work contact details and any information needed to plan and deliver the workshop (for example, the kinds of presentations participants give). We may also keep the feedback and coaching notes we provide to participants.
Information we collect automatically
- Analytics: we use Google Analytics to understand how visitors use the Site (pages viewed, approximate location, device and browser type, and how you arrived). Google Analytics uses cookies and similar technologies.
- Spam and abuse protection: our forms use Google reCAPTCHA, which collects device and interaction information to tell people from bots.
- Security and server logs: our hosting provider and security software record technical information such as IP address, browser type, date and time of visits and pages requested, to keep the Site secure and working.
Information from other sources
Our services are sold to businesses. To find organizations that may benefit from our training, we obtain business contact information about professionals (such as name, job title, employer, work email address and work or mobile phone number) from commercially available business-data providers and from public sources such as company websites and professional profiles. We use this information only to contact people in their professional capacity about our services.
2. How we use information
- To respond to inquiries and provide the information or proposal you ask for.
- To plan, deliver and follow up on workshops and coaching.
- To send our newsletter and, for business contacts, occasional emails and calls about our services. You can opt out at any time (see section 7).
- To understand and improve the Site, our content and our services.
- To protect the Site and our business against spam, fraud and security threats.
- To comply with legal obligations and enforce our agreements.
3. How we use artificial intelligence (AI)
We use AI tools provided by third-party technology companies to help us work efficiently. For example, we use AI to help draft and edit website and blog content, draft emails and outreach messages, research and organize lists of businesses and business contacts, summarize information, and analyze how the Site is performing.
- People stay in charge. Our team reviews AI-assisted content and messages before we rely on them.
- No significant automated decisions. We do not use AI to make decisions about you that produce legal or similarly significant effects.
- Limited data. When we use AI tools with personal information, we share only what is needed for the task, such as a business contact’s name, job title and company, and we do not knowingly submit sensitive personal information.
- Providers act on our behalf. AI providers process information as our service providers, under their business terms.
- Workshop materials. We do not use participants’ presentations, coaching notes or confidential client materials to train AI models.
4. How we share information
We do not sell your personal information. We share information only as follows:
- Service providers that help us run our business, such as website hosting and security, email, analytics, customer-relationship and outreach software, AI tools, and the marketing agency that helps us manage the Site and our outreach. They may use the information only to provide services to us.
- Your organization: if your employer books a workshop for you, we may share attendance and general feedback with the person who arranged the training.
- Legal and safety reasons: when required by law or to protect our rights, our users or the public.
- Business transfers: as part of a merger, acquisition or sale of all or part of our business.
5. Cookies
The Site uses cookies and similar technologies for analytics (Google Analytics), spam protection (Google reCAPTCHA) and basic Site functions. You can block or delete cookies in your browser settings; some features may not work properly if you do. You can also use Google’s Google Analytics opt-out browser add-on. For more about how Google uses information, see how Google uses information from sites that use its services.
6. How long we keep information
We keep personal information only as long as we need it for the purposes above. Inquiries and business contact records are kept while there is an active or potential business relationship and then deleted or anonymized. Records related to workshops and invoices may be kept longer where needed for accounting, tax or legal purposes. If you ask us to stop contacting you, we keep a minimal record of that request so we can honor it.
7. Your choices and rights
- Emails: use the unsubscribe link where one is provided, reply to any of our emails asking us to stop, or email us.
- Calls: tell us during any call, or email us, and we will add your number to our internal do-not-call list.
- Access, correction and deletion: you may ask us what personal information we hold about you, and ask us to correct or delete it.
- State privacy rights: depending on where you live, you may have additional rights under state law, such as the right to know, correct, delete, or opt out of certain uses of your information, and the right not to be discriminated against for using these rights. We honor these requests where the law applies to us, and we will not discriminate against you for making one.
To make a request, email info@prospeaksolutions.com. We may need to verify your identity before responding, and we aim to respond within 45 days. You may use an authorized agent to make a request on your behalf.
8. Security
We use reasonable administrative, technical and physical safeguards to protect personal information, including security software on the Site and access controls on our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send sensitive personal information through our forms.
9. Children
Our Site and services are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us and we will delete it.
10. Where information is processed
We are based in the United States, and our service providers may process information in the United States and other countries. When we deliver workshops outside the United States, such as destination workshops in Mexico, we handle participant information only as needed to deliver that training.
11. Links to other websites
The Site may link to other websites. We are not responsible for their privacy practices, and we encourage you to read their privacy policies.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new effective date. If we make material changes, we will take reasonable steps to let you know.
